As the Personal Assistant to the Executive Director (ED), you will play a pivotal role in ensuring the seamless operation of the ED’s office. This high-impact position requires a professional who excels in executive support, thrives under pressure, and possesses exceptional organizational and communication skills. You’ll work closely with the ED to manage critical tasks, represent the organization with professionalism, and support strategic initiatives that drive AYGF’s mission forward.
Key Responsibilities
As a Personal Assistant, you will be entrusted with a diverse range of responsibilities that directly support the ED’s leadership and the organization’s goals. Your duties will include:
- Calendar and Schedule Management: Efficiently manage the ED’s calendar, scheduling meetings, appointments, and travel arrangements to optimize their time and productivity.
- Confidential Correspondence: Handle sensitive communications, reports, and documents with the utmost discretion and professionalism.
- Stakeholder Engagement: Act as the primary point of contact for internal and external stakeholders, ensuring smooth communication and access to the ED.
- Event and Logistics Coordination: Organize logistics for high-profile meetings, retreats, conferences, and public engagements, ensuring flawless execution.
- Document and File Management: Maintain an efficient electronic and physical filing system for the ED’s office, ensuring easy access to critical information.
- Research and Reporting: Conduct research, compile briefing documents, and prepare reports to support the ED’s decision-making process.
- Communication Drafting: Draft, edit, and format memos, presentations, speeches, and official communications that reflect AYGF’s professional standards.
- Meeting Preparation: Coordinate agendas, prepare background materials, and ensure the ED is fully briefed for meetings and engagements.
- Action Tracking: Follow up on action points, monitor deadlines, and ensure timely completion of tasks.
- Representation: Represent the ED in meetings or engagements when delegated, upholding AYGF’s values and professionalism.
Qualifications and Experience
To excel in this role, candidates should bring the following qualifications and experience:
- Educational Background: Minimum of a Bachelor’s degree (B.Sc.) in Business Administration, Social Sciences, Communications, or a related field.
- Professional Experience: At least 3 years of proven experience as a Personal Assistant, Executive Assistant, or in a similar high-level administrative role.
- Sector Knowledge: Experience working in the NGO or development sector is highly desirable, with familiarity in areas such as migration, public health, education, or climate change being a significant advantage.
- Skills and Competencies:
- Exceptional organizational and time-management skills to handle competing priorities.
- Strong written and verbal communication skills for drafting professional correspondence and engaging with diverse stakeholders.
- High level of discretion and confidentiality in handling sensitive information.
